Plans and executes marketing events, such as trade shows and customer related events. Coordinates logistics, including registration and attendee tracking, presentation and materials support and pre and post event evaluations. Procures and coordinates vendor services. Coordinates facility, exhibit setup, equipment and catering requirements. Provides onsite event support. May research potential event locations and evaluate alternatives.

Coordinates PLT marketing and sales events according to the established goals and objectives of the department. Coordinates with internal and external customers which includes dealers, distributors, end consumers, business partners, media, and event staff as it pertains to the execution of key events and programs. Supports corporate events as needed and time permits.

 Relationship lead for attendee management software and supplier network, currently CVENT.

  • Manages and builds event registration websites where internal and external customers go to sign up for events.  This may include working with IT on site enhancements and new functionality needed for future projects and processes.
  • Key contact for event registration website once it's launched.  Maintains website changes, updates, requests, and email reminders and correspondence as it pertains to each event.
  • Works with customer care to roll out new enhancements to the website and solve any change requests to the site.
  •  Builds and manages on-site mobile applications for events. Including design, content and communications.

Leads event strategy and coordination of sales and marketing events (up to 15 events per year)

 Examples of Events: National Sales Conference, Mid Year Sales Conference, ContiBusinessCouncil, GOLD Council, Product Council, Drive and Learn Events, Product Launches, Incentive Trips, Trade Shows, etc.

  • Leads event strategy and creative meetings to determine event scope and need. Consults, makes recommendations and suggestions on all aspects of events
  • Reserves all event hotel accommodations including attendee and guest hotel rooms, necessary meeting space, food and beverage requirements, internet, audio visual, and parking
  • Partners with group air travel to ensure a smooth customer flight booking process for event attendees
  • Plans all necessary transportation needs including airport transfers, group bus transportation, and individual pickups when needed and travel is involved pertaining to the event
  • Books the proper restaurant and/or entertainment arrangements necessary to accommodate the event schedules and needs
  • Arranges for social activities dependent on the needs highlighted within the scope of the event
  • Communicates with internal and external customers to ensure awareness of all event information through email, printed invitations. This includes keeping internal customers up to date on the status of their external customers
  • Creates event agenda and printed materials to enhance the communication and key messages of the event
  • Onsite event execution lead with an emphasis on keeping internal and external customers on schedule and in the right place at the right time
  • Gathers and compiles feedback post each event. Consolidates feedback and prepares highlights and improvement suggestions for key stakeholders.
  • Vendor Management and Budget - Contacts hotels and venues of interest and facilitates contract negotiation process with hotel sales manager
  • Works with Purchasing Department on the 3 bid vendor process to ensure cost effective vendor selection
  • Coordinates with Legal Department on contract negotiation reviews and then compiles information into the Contract Management System
  • Sets up new vendors into Vendor Management System and follow up on the payment process with Accounts Payable to ensure timely payment
  • Responsible for setting up Purchase Orders and all necessary documents to track event orders adhering to purchasing guidelines.
  •  Adheres to Continental policies to confirm accurate set up of billing, payment terms and final payment as it relates to assigned event

Supports Corporate Events: 

  • Manage event registration website as it pertains to corporate events
  • Assists with procurement of event items such as giveaways, handouts, apparel,  product information, display items, and other items as requested
  • Supports corporate events when needed and as the schedule permits

Researches Potential Event Locations and Attends Site Visits:

  • Researches hotels, venues, entertainment facilities prior to booking events
  • Travel to potential site locations to gather data and proposes options and/or recommendations to key stakeholders

 Attends Industry Meeting Planning Relevant Events:

  •  Annually attends industry meeting planner events to keep abreast of industry changes and current trends to create best-in-class events
  •  Events include CVENT Connect, MPI (Meeting Planners International), ISES (International Special Events Society), IMEX and hosted buyer programs for potential event locations

职位要求

BASIC:

  • Bachelor’s degree
  • 2+ years experience executing high-end dealer, customer events and activation
  • Cvent software or related event software experience
  • Proficient in Excel  
  • Able to travel up to 40% 
  • Legal Authorization to work in the US is required. We will not sponsor individuals for employment visas now or in the future for this job opening
  • Continental is able to offer a domestic relocation package if needed 

 

PREFERRED:

  • 5+ years experience executing high-end dealer, customer events and activation
  • Cvent hands on experience
