工作职责

Management Assistance:
- Manage Director's calendar. Arrange travels, meetings, events. Greet and assist visitors.
- Order Office Supplies. Prepare and monitor invoices.
- Prepare presentations, reports, spreadsheets and other documents as required.
- Coordinate office procedures. Develop systems to prioritize time and activities."

Location Travel Assistance:
- Ensure the correct use of the corporate card. Mantain effective communication with the Travel & Expenses team.
- Submit and reconcile expense reports for Director, Traditional Channel Manager and National Accounts Manager.
- Provide support to users for ticket purchasing"

Facilities:
- Manage the Facilities / Janitorial provider and coordinate the bidding process with the purchasing area if required.
- Budget preparation and management for the janitorial services and cafeteria. Manage the PO's, invoices, payments and assure the correct reception of the fiscal documents each month.
- Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies.
- Monitor that outsourced employees comply with the responsibilities of their job descriptions in a timely manner, and keep track of their absences, vacations, medical situations, etc."
- Main contact with general offices services.

Fleet Car Management:
- First point of contact with the supplier, LeasePlan. Contract (conditions), Manage reception and return of units, Purchase of units, Negotiation and annual costs estimations., Track maintenance services, incidents, verifications, etc
- Admin: Account receivable (account statements, sending and receiving invoices). Ensure payments are made on time. Make sure that databases are up to date. Follow up to different approval flows. Provide valuable information regarding fleet costs or savings. Monitor that units are being used properly. Insurance management. Review with managers, controlling and general director.
- Support users: Coordinate the correct delivery and return of units with users, Car Policy (Communication and user guidance), at different processes or issues, "

ESH:
- Facilitate the Onboarding session regarding preventive measures.
- Close communication and follow up with employees regarding ESH, keeping the Crisis Management Team informed with the requested reports.
- Coordination with the suppliers for tests, EPP for the office and field employees, and different purchases as required
- Follow up: preventive measures, reports in Safe Track and proposals for preventive and corrective measures."
