Team Assistant for User Experience (TM)

Náplň práce

  • Perform a wide range of administrative and general support duties for the executive management of the company;
  • Provide organizational support for the Head of Business Area and members of the department performing various administrative tasks in order to ensure a continuous flow of information within the department and a close link to the other departments;
  • Responsible to organize and keep up to date manager's calendar, schedules meetings and conference calls with clients, business partners and internal personnel;
  • Responsible to plan, organize and ensure smooth running of meetings, workshops and other events;
  • Receives and screens telephone calls, letters, and/or visitors, answering routine questions and obtaining and furnishing information to save supervisor's time;
  • Organizes and maintains principal's correspondence and records, following up on pending matters with limited direction;
  • Responsible to set internal deadlines for filling in the monthly reports, checks the monthly reports to be filled in by all employees, issues final reports from the online application and submits them to the HoD, Finance and HR department;
  • Responsible to collaborate with HR: organizes the testing and interviewing phases of the hiring process. Creates the training requests (for technical/ non-technical trainings/ team buildings), the travelling requests, the team building timelines/ agendas, the recruitment requests, submits the internal moving approval forms and tracks the signature process;
  • Responsible to create/ delete user accounts and Recording Hours accounts, updates corporate phone book entries, helps the new employees fill in the bank account documents, gives access rights to different folders;
  • Responsible to administrate the department's monthly advance, submit all the invoices to the Finance department, including the advance statement.

Profil kandidáta

  • University Degree (e.g. Foreign Languages, Law, social science) or relevant professional experience;
  • Well organized and self-driven;
  • 3+ years relevant work experience.
